Mental Health Administrative Assistant

If this sounds like you, let’s talk! ACT Services is seeking an administrative assistant to help keep our office running smoothly for our amazing providers and clients. Our practice has been growing due to an increased demand for quality care and we are looking for a dynamic individual to join our team! It’s important you know how much we pride ourselves on providing Spokane with the best, most dedicated therapists, and as the first contact our clients would have with our practice, either in person, over the phone, or email, it’s important you present your best self to the world, too.
As a practice, we work specifically with high functioning individuals dealing with life, mostly in the form of depression, anxiety, relationship problems, work conflicts or dissatisfaction, trauma, and adjustment concerns. We truly love what we do and feel honored to get the opportunity to work with people through their difficult times. Our administrative assistant would be kind, caring, and understanding when faced with raw human emotion at times when coping skills fail; sometimes we all need extra patience and empathy to get through a rough day, and our clients are no different. We need someone to help support us with answering phone and email inquiries, reviewing, assigning, and scheduling intake assessments, scanning and shredding documents, and verifying insurance eligibility. Our administrative assistant is also the point of contact for accepting payment, so if you’re comfortable accepting money and documenting it in an electronic medical record, that’s a plus. Occasionally you might be asked to follow up on wonky insurance claim issues, but if you hit a snag, our insurance-guru owner can help you out.
We take pride in our clients knowing we genuinely care about their lives and have the know-how to understand their story at a deeper level, and you would too as our administrative assistant. There will always be more paperwork, but prioritizing the person standing before you would be our idea of compassionate service. We encourage creativity and foster the space for our staff to be their authentic selves in the workplace. Our team is awesome. This is a great position for people who have big ambition to make an impact but would rather be part of a smaller team instead of getting lost in large organizations.

- Passionate about destigmatizing mental illness
- Hardworking, dedicated spirit
- Able to pass a background check to work with vulnerable populations and money
- Highly interested in interfacing with professionals, creatives, and millennials
- Outgoing and highly personable
- Able to work early mornings and/or evenings to accommodate clients as needed
- Able to sit for extended periods of time
- Assist with copywriting, social media and website content
- Clean common areas, including cleaners that may contain hazardous materials (e.g. bleach). Our practice has extremely limited in-person appointments currently; at some point in the future, we do expect that to change.
